Executive Officer

Seven Resourcing are currently seeking a Executive Officer  to work within Rutland County Council. This is a full time role, paying £19.23 p/h.

Functions of the Job:

Provide a high level executive support/personal assistant role to the Chief Executive, Directors (Corporate Leadership Team, Leader and Deputy Leader of the Council. 

Act as the initial point of contact for CLT in their absence and in particular assess priorities and re-direct calls, enquiries, emails, requests.   Meet and greet visitors and ensure arrangements for key visitors/dignitaries are effectively organised and managed.

Effective management of time through diary management – understanding and balancing priorities.

Undertake necessary preparation for meetings eg.teleconferences, venue bookings, accommodation/travel arrangements, producing background papers/briefing notes, ensuring all relevant files and documentation are up to date, producing minutes.

Respond to letters, emails, and telephone calls on behalf of CLT members involving complex, confidential and sensitive matters which require co-ordination of responses both internally and externally.

Provide high level administrative and project support e.g. Undertaking research and analysis, producing briefing notes, presentations, summary reports.

Undertake projects on behalf of the Chief Executive and Corporate Leadership Team.

Act as a role model and Centre of expertise for in relation to key IT systems such as Microsoft exchange, word, excel, PowerPoint.

EXPERIENCE:

Proven experience of working in a similar Personal Assistant role to senior officers including diary management and acting as first point of contact.

Experience of taking minutes, summarising discussions/file notes and writing reports.

Project management experience.

Experience of researching complex issues, writing reports and preparing briefing notes and action plans.

Proven track record of producing work of a high standard with a high level of attention to detail.
